A calmer inbox does not come from reading email faster. It comes from making a clear decision about each message and giving important work a reliable place to go.
Delete what has no value
Remove expired notices, obvious clutter and messages you will never need again. Keeping everything makes useful information harder to see.
Complete very short actions
If a straightforward reply genuinely takes only a couple of minutes, complete it. Save more thoughtful work for focused time.
Schedule longer work
Flag the message or create calendar time for work that needs concentration. Leaving an email unread is not a dependable plan.
Archive useful reference messages
Archive information you may need later but do not need to act on. Search can retrieve it without leaving it in the active inbox.
Keep folders simple
Create folders only for clear projects or responsibilities. A complicated filing system can take more time to maintain than it saves.
Create rules for predictable email
Move regular reports and automated notifications automatically. Review rules occasionally so important messages are not hidden.
Choose when email gets your attention
Turn off unnecessary alerts and choose suitable points in the day to process messages. Keep a clear route for genuinely urgent contact.
Microsoft guidance: manage email with Outlook rules.
